Privacy Policy

Keytech Networks Ltd is a company registered in England and Wales, registered at Barttelot Court, Barttelot Road, Horsham, West Sussex, United Kingdom, RH12 1DQ (collectively referred to as “Keytech Networks”, “we” or “us” in this policy).

The General Data Protection Regulation (EU) 2016/679 (GDPR) has extended the scope of our requirements and we have updated our privacy policy as per the effective date below.

1. Overview

1.1 Keytech Networks are committed to protecting and respecting your privacy. We take your privacy very seriously and we ask that you read this Privacy Policy carefully as it contains important information regarding:

(a) the personal data we collect about you as a customer or as an interested party in our products and services

(b) how we look after your personal data when you visit our website

(c) with whom your personal data might be shared;

(d) your privacy rights and how the law protects you.

 

2. What personal information do we collect?

2.1 Keytech Networks may collect the following information about you to provide the services required as per the service specific customer application forms provided by us:

(a) your name,

(b) your business contact details: postal address including billing and delivery addresses, telephone numbers (including mobile numbers where required) and e-mail address;

(c) purchases and orders made by you;

(d) when you place an order with us, your company bank details for the setup of the Direct Debit;

(e) your communication and marketing preferences;

(f) your preferences and feedback;

(g) your location;

(h) your correspondence and communications with Keytech Networks for the purposes of the services that we provide

2.2 We may also collect, and process information completed by you via the contact us form our website https://keytechnetworks.co.uk .

2.3 We will also collect information about the services used by you, provided by Keytech Networks, to ensure accurate billing and service management can be maintained effectively for the purposes of the contract in place.

 

3. How do we use your personal information?

3.1 Keytech Networks use your personal data:

(a) to provide products and services to you;

(b) to manage and maintain the customer account that you hold with us;

(c) to verify your identity; and carry out credit checks prior to supplying your organisation with our products and services

(d) for crime and fraud prevention, detection and related purposes;

(e) with your agreement, to contact you electronically about promotional offers and products and services which we think may interest you;

(f) where we have a legal right or duty to use or disclose your information (for example in relation to an investigation by a public authority or in a legal dispute).

 

4. Legal basis for Keytech Networks processing personal customer data

4.1 Keytech Networks collects and uses customers’ personal data because is it necessary for:

(a) the pursuit of our legitimate interests (as set out below);

(b) the purposes of complying with our duties and exercising our rights under a contract for the sale of goods to a customer; or

(c) complying with our legal obligations.

4.2 In general, we only rely on consent as a legal basis for processing personal data in relation to sending direct marketing communications to customers via email.

4.3 Customers have the right to withdraw consent at any time.  Where consent is the only legal basis for processing, we will cease to process data after consent is withdrawn.

5. Our legitimate interests

 

5.1 The legal basis for processing customer data, is that it is necessary for the legitimate interests of Keytech Networks, including:

(a) selling and supplying goods and services to our customers;

(b) promoting, marketing and advertising our products and services;

(c) improving existing products and services and developing new products and services;

(d) complying with our legal and regulatory obligations;

(e) preventing, investigating and detecting crime, fraud or anti-social behaviour and prosecuting offenders, including working with law enforcement agencies;

(f) handling customer contacts, queries, complaints or disputes;

(g) protecting Keytech Networks, its employees and customers, by taking appropriate legal action against third parties who have committed criminal acts or are in breach of legal obligations to Keytech Networks;

(h) effectively handling any legal claims or regulatory enforcement actions taken against Keytech Networks; and

(i) fulfilling our duties to our customers and colleagues.

6. Marketing-How will we do it?

6.1 Keytech Networks aims to update you about products & services which are of interest and relevance to you as an individual. Keytech Networks uses your personal data (with your consent) to send you updates via electronic marketing or by postal mail.

6.2 You have the right to opt out of receiving promotional communications at any time, by:

(a) making use of the simple “unsubscribe” link in emails

(b) contacting Keytech Networks via the contact channels set out in this Policy.

 

7. Who else do we share your information with?

 

7.1 The service providers and suppliers we partner with to deliver the Telecommunications and Network services to you:

(a) To make certain services available to you, we may need to share your personal data with some of our service partners.  These include Telecommunications, Network Providers and IT service providers.

(b) Keytech Networks only allows its service providers to handle your personal data when we have confirmed that they apply appropriate data protection and security controls.  We also impose contractual obligations on service providers relating to data protection and security, which mean they can only use your data to provide services to Keytech Networks and to you, and for no other purposes.

 

8. International data transfers and how do we protect it?

8.1 To deliver products and services to you, it is sometimes necessary for Keytech Networks to share your data outside of the European Economic Area.  This will typically occur when service providers are located outside the EEA or if you are based outside the EEA.  These transfers are subject to special rules under data protection laws.

8.2 If this happens, we will ensure that the transfer will be compliant with data protection law and all personal data will be secure.

 

9. How long do we keep your data?

 

9.1 We shall only retain your information for as long as necessary to fulfil the purposes we collected it for, including for the purposes of satisfying any legal, accounting, or reporting requirements.

 

10. Your rights and Accessing your personal information

10.1 You have the following rights:

(a) the right to ask for a copy of personal data that we hold about you (the right of access);

(b) the right (in certain circumstances) to request that we delete personal data held on you; where we no longer have any legal reason to retain it (the right of erasure or to be forgotten);

(c) the right to ask us to update and correct any out-of-date or incorrect personal data that we hold about you (the right of rectification);

(d) the right to opt out of any marketing communications that we may send you and to object to us using / holding your personal data if we have no legitimate reasons to do so (the right to object);

(e) the right (in certain circumstances) to ask us to ‘restrict processing of data’; which means that we would need to secure and retain the data for your benefit but not otherwise use it (the right to restrict processing); and

(f) the right (in certain circumstances) to ask us to supply you with some of the personal data we hold about you in a structured machine-readable format and/or to provide a copy of the data in such a format to another organisation (the right to data portability).

11.How we ask for consent and your right to withdraw consent?

11.1 In those cases where we need your consent to hold and process your personal data, we will ask you to confirm your consent. By confirming your consent, you agree that you have been informed as to why we are collecting the information, how this information will be used, for how long the information will be kept, who else will have access to this information and what your rights are as a data subject (all of which is set out in this Privacy Policy).

12.1 Our website use cookies to collect information and to improve the speed and functionality of our website.  This includes information about browsing and behaviour by people who access our websites.  This includes information about pages viewed, products purchased and the customer journey around our websites.

13. How do we keep your personal data secure?

13.1 To protect your information, we have policies and procedures in place to make sure that only authorised personnel can access the information, that information is handled and stored in a secure and sensible manner, and all systems that can access the information have the necessary security measures in place.

13.2 All employees, contractors and sub-contractors receive the necessary training and resources to ensure they understand their responsibilities in relation to all of our policies and procedures.

13.3 In additional to these operational measures we also use a range of technologies and security systems to reinforce the policies and procedures, including ensuring that:

(a) access to personal data is strictly restricted to those employees who need access this information as part of their role;

(b) we store your personal data on secure servers and unauthorised external access to personal data is prevented through the use of a firewall;
